The Operations & Finance Manager is a new and critical role supporting the day-to-day operations of Girls Forward, with a primary focus on financial oversight, internal systems, and team coordination. You will be responsible for implementing and maintaining efficient operational and financial processes, including onboarding the team into a new project management platform, managing financial workflows, and supporting organization-wide systems. This role includes liaising with our external financial providers and may take on increasing responsibility for full-cycle financial management.
You’ll work closely with the Executive Director and leadership team, ensuring the organization runs smoothly behind the scenes. This role is ideal for someone proactive, detail-oriented, and systems-savvy — someone who thrives in a dynamic nonprofit environment and is eager to help build sustainable infrastructure for growth.
KEY RESPONSIBILITIES
Financial Oversight and Systems Leadership
- Oversee day-to-day financial operations of the organization, including tracking revenue and expenses, contractor payments, and account reconciliation
- Manage financial tools and platforms, including QuickBooks, Dext, Payworks, PayPal, and Plooto
- Liaise with external financial service providers (bookkeeping, payroll, CRA, etc.) to ensure accurate and timely reporting
- Run monthly financial reports and assist the Executive Director with budget monitoring and forecasting
- Lead the annual budgeting process in collaboration with the Executive Director and Board Treasurer
- Maintain and improve internal financial processes and controls
- Make small, pre-approved purchases and manage documentation for reconciliation
- Support with grant financial reporting and audit preparation as required
- Take on increasing responsibility for internal bookkeeping, with the potential to transition in-house finance management from external contractors
Project Management and Workflow Support
- Lead the implementation and onboarding of Monday.com as our primary project management tool
- Support team onboarding and training to ensure confident usage
- Work closely with the Executive Director to upload and maintain oversight of operational and marketing projects and tasks
- Create and maintain process documentation and workflows
Team and Staffing Support
- Support with hiring logistics (job postings, interview scheduling, and applicant tracking)
- Assist in onboarding new staff and contractors (email setup, scheduling tools, systems access)
- Develop internal “how-to” guides and process documents for recurring operations and tasks
Administration & Process Management
- Manage multiple Girls Forward e-mail addresses, including our general accounting and financing accounts. Respond to inquiries and triage messages to the appropriate team members
- Set up and manage virtual meetings; take meeting minutes when needed
- Create and update documents, templates, and team files
- Organize and maintain shared folders in Google Drive
- Create and manage Typeforms, and provide basic CRM support as needed
- Assist with email and calendar coordination for internal leadership, including scheduling, email follow-ups, and time management support
- Liaise with staff and contractors on retail and inventory needs
- Support other administrative tasks as assigned
QUALIFICATIONS
- 3-5 years of experience in operations, finance administration, or nonprofit systems support
- Comfortable with budget development, financial tracking, and liaising with external finance professionals (e.g., bookkeepers, accountants, auditors)
- Proficient in tools like QuickBooks, Dext, Plooto, Google Workspace, Slack, Zoom
- Experience with or interest in using project management tools (preferably Monday.com)
- Ability to take initiative and lead the transition of financial systems in-house
- Interest in growing into a senior operational or financial leadership role
- Comfortable working independently in a remote team
- Experience in the nonprofit or social impact sector is a strong asset

COMMITMENT
- This is a full-time, salaried position with a 37.5-hour workweek. The work schedule is flexible, set by the Executive Director.
- This is a remote position open to candidates across Canada. Travel as needed.
COMPENSATION
- $45,000 – $60,000 yearly salary based on a full-time employee at 37.5 hours per week
- $100 monthly cellphone and internet allowance
