Kanata Rhythmic Gymnastics Club (KRSG) in Ottawa, Ontario, is seeking a highly motivated and experienced full-time General Club Administrator & Recreational Lead to join its team. This dual-role position combines administrative leadership with active involvement in the recreational program. The successful candidate will ensure smooth club operations and support both recreational and advanced training programs. Full-time hours are based on 40 hours per week, including in-gym and out-of-gym administrative hours.
Key Responsibilities
- General Club Administration
- Monitor and manage club communications
- Respond to parent inquiries and redirect as needed
- Liaise with coaches and board members for announcements, schedules, and cancellations
- Manage insurance renewals, rental agreements, and facility documentation
- Track inventory and liaise with vendors for ordering and invoicing
- Support registration processes (recreational and advanced programs)
- Handle registrations and renewals with Gymnastics Ontario (GO)
- Process withdrawals, transfers, and applicable credits
- Prepare billing summaries for advanced training fees
- Submit invoices and reimbursements to accounting
- Update website content (classes, schedules, calendar)
- Manage social media platforms (Instagram, Facebook)
- Research and apply for relevant grants to support club growth and development
- Uniform and costume orders, competition registration, and communication with familie
- Recreational Program Leadership
- Minimum 10 hours/week supervising and supporting recreational classes in the gym
- Assist in scheduling recreational classes and coaches
- Organize and coordinate summer and March Break camps, including registration, scheduling, and staff assignment
- Monitor class registration and fee payments
- Contribute to class design and website materials
- Set up Rec Program sessions in Amelia system
Required qualifications:
- Proven administrative experience, ideally in a club, recreation, or nonprofit environment
- Gymnastics Foundations Certification is an asset
- Strong organizational and communication skills
- Ability to multitask and manage shifting priorities
- Comfortable working in a gym/recreational setting with children and families
- Familiarity with Gymnastics Ontario processes is an asset
- Experience with payroll, basic accounting, and HR tasks preferred
- Basic social media and website content management skills
- Vulnerable Sector Police Check completed after January 1, 2024
