The Dinos Business Operations within the Faculty of Kinesiology is currently seeking a Full-time Staff Limited Term Dinos Events Coordinator for approximately 1 year.
Reporting to the Associate Director, Operations, the Events Coordinator works closely with the Business Operations team to execute Dinos varsity events and the Dinos partnership with Calgary Wild FC throughout the year. The flexible work schedule is 35 hours per week, with the peak period of work occurring from April 1 through December 15 each year. Weekend and evening work will be required during the athletic season.
The Events Coordinator is responsible for the setup, execution, and teardown of all home exhibition, regular season, playoff, and special events conducted by Calgary Wild FC. Additionally the incumbent will be responsible for supporting major Dinos events and games taking place at McMahon Stadium. The position includes multi-event weekends, requiring various detailed tasks to be coordinated at multiple venues. At times, there will be multiple, simultaneous deadlines in a work environment that is fast-paced and results-oriented. The incumbent must be able to work under pressure and with a variety of environments and people.
The incumbent must show initiative and discretion, as decisions made can impact various units within the Department of Athletics and the Faculty of Kinesiology.
This is a generalist position with a broad range of focus areas and target audiences, requiring management of competing interests with satisfactory outcomes for all stakeholders involved.
The Events Coordinator is responsible for the setup, execution, and evaluation of all Wild FC home events, Dinos home games at McMahon Stadium, and other Dinos events as required. Providing outstanding customer service and a first-class fan experience to members of the University, Wild FC staff, and external communities is required.
Responsibilities include ensuring events are adequately staffed and properly executed. The position provides leadership to part-time events staff and assists with their selection, training, scheduling and evaluation.
Summary of Key Responsibilities (job functions include but are not limited to):
- Provide a safe and enjoyable fan experience for all attendees.
- Ensure facilities are set up and prepared for events and coordinate post-game teardown.
- Primary on-site point of contact for visiting teams and officials.
- Liaise with University, City, Wild FC, and other facility operators.
- Work with external groups to ensure effective operation of games and special events (i.e. McMahon Stadium Society, Calgary Sports and Entertainment Corporation, University of Calgary Students Union).
- Creation of game day script and liaison with video production crew for in-game scripting.
- Manage game day equipment and set-up requirements.
- Ensure the readiness of the overall Competitions Areas (Team Dressing Rooms, Referee Dressing Rooms, Medical and Doping Control Rooms, etc.) in line with the league requirements.
- Create game day scripts and run of show.
- Prepare the Match Summary and Match Countdown.
- Work alongside McMahon Stadium to ensure overall Competitions Area Readiness and resolve any issues faced by the participating teams at the respective venue.
- Responsible for in-scope supervision and scheduling of designated part-time event staff.
- Arrange EMT, CPS, Security, liaises with Fan Experience employee.
- Liaise with league as needed for Match delay/abandonment protocol.
- Coordinate the training and on field oversight of the ball kids and walk out escorts.
- Successful management and control of budgeted spending.
- Provide assistance and support to Managers on ensuring staffing is appropriately trained, scheduled, and coordinated to support events and promotional activities.
Qualifications / Requirements:
- Post-secondary degree in Kinesiology, Communications, Marketing, Sport Management, or other related area preferred.
- 1 to 3 years of working experience in an event management role or related position.
- Knowledge of the Northern Super League, U SPORTS, Canada West and University of Calgary policies and procedures are essential.
- Exceptional communication skills, both written and oral.
- Strong attention to detail, good multitasking and organizational skills are required.
- Ability to work in a fast-paced environment focused on excellent customer service.
- At ease working in high-pressure situations to diffuse tensions and seek solutions.
- Cash handling experience an asset.
- Familiarity with Microsoft Office (Word, Excel, Powerpoint).
