Executive Assistant

Location: Remote–based in Canada (preferably Eastern time zone)
Reports to: Founder, Generation Safe

Employment Type: Part-time (20 hours per week, with possibility for more hours as needed). 18-month maternity leave contract with option for extension.

Some evening work may be required.

Pay: $32/hour

Position Summary

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our founder, Allison Forsyth in her role as CEO of Generation Safe. This position requires exceptional communication skills, discretion, and the ability to manage multiple priorities in a dynamic, purpose-driven environment.

Key Responsibilities

  • Provide high-level administrative support to the Founder , including calendar management, travel coordination, and meeting preparation.
  • Draft, proofread, and manage correspondence, reports, and presentations.
  • Coordinate internal and external meetings, including logistics, agendas, and follow-ups.
  • Liaise with stakeholders, partners, and board members on behalf of the executive office.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Support project tracking, deadlines, and deliverables across various initiatives.
  • Assist with social media and communications tasks as needed.
  • Manage expense reports, invoices, and other administrative documentation.
  • Oversee day-to-day operations of the online education platform, including:
  • Uploading and updating course content.
  • Monitoring user engagement and responding to inquiries.
  • Coordinating with educators, developers, and support teams.
  • Generating reports on platform usage and learner progress.
  • Ensuring accessibility, accuracy, and quality of educational materials.
  • Contribute to a positive, collaborative, and mission-aligned team culture.

Qualifications

  • Proven experience as an executive assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint, Outlook, Teams),  and other relevant tools.
  • Ability to work independently and handle multiple tasks simultaneously.
  • High level of professionalism and discretion.
  • Must have access to a reliable laptop and internet connection.

Preferred Skills

  • Experience in the sport industry and knowledge of the Canadian Sport system.
  • Ability to anticipate needs and proactively solve problems.
  • Strong interpersonal skills and a collaborative mindset.
  • Experience with online learning platforms (Thinkific).
  • Bilingualism is an asset, but not required
