The Ontario Volleyball Association (OVA) is a non-profit, member-based provincial sport organization where dedicated volunteers and professional staff provide leadership in the growth and development of indoor, beach, and sitting volleyball for all Ontarians. JOB SUMMARY
The Program Coordinator supports the administration and delivery of Youth Competitions for indoor and beach volleyball, guided by the Long-Term Development in Sport and Physical Activity 3.0 (LTD 3.0) and Canadian Sport for Life (CS4L) frameworks.
From September to April, the role works with Indoor Competitions staff to organize Early Contact Initiative (ECI) tournaments, assist with three annual convention centre events, and help deliver Canada’s largest provincial volleyball championship.
From May to August, the Coordinator leads planning, administration, and customer service for the OVA Beach Tour, ensuring a professional, athlete-focused competition experience, and takes part in a rotating on-site delivery schedule.
This position is primarily office-based but requires travel and weekend work for event support.
Indoor Competitions & Major Events (September–April)
- Administer 4v4, 6v6 Rallyball, and TLS Girls divisions, including registration in the Membership Registration System (MRS), rankings, scheduling, and posting results.
- Liaise with competition hosts to provide resources, troubleshoot issues, and ensure smooth event delivery.
- Coordinate referee assignments through Arbiter, monitor invoicing, and maintain event information on the OVA website.
- Plan and deliver three Regular Season Convention Centre events (Nov, Jan, Mar) and the Ontario Championships (Apr), including registration, scheduling, seeding, roster verification, logistics, and onsite support.
- Attend planning meetings with host cities and venue operators; contribute to the Competition Guide, Safety Manual, and Stay to Play policy administration.
- Communicate regularly with clubs, coaches, athletes, and families via multiple channels, fostering positive relationships and promoting youth competition opportunities.
- Support Nationals team entries and seeding, collect and analyze post-event feedback, and assist with youth competition policy updates.
- Represent the OVA at designated competitions and attend relevant council meetings.
OVA Beach Tour (May to August)
- Lead administrative planning for the summer Beach Tour, including satellite tournaments and the Ontario Championships.
- Manage registrations, verify team entries, create schedules, and prepare scoresheets using standard templates.
- Maintain up-to-date event details on the OVA website, MRS, and myteam.click, and ensure prompt posting of results.
- Liaise with hosts and partners, coordinate staffing (referees, medical, security), and prepare equipment and event materials.
- Support recruitment, onboarding, and training of seasonal staff (Beach Crew, Event Leads).
- Participate in the summer on-site delivery rotation (~4 weekends between May–Aug) to assist with event operations.
Other Responsibilities
- Collect and analyze feedback; recommend program improvements.
- Assist with competition restructure initiatives, attend awards events, and special projects.
- Attend staff, committee, and board meetings as required
- Support OVAtion Awards Banquet and other special projects
- Act as an Ambassador for the OVA
- Other duties as assigned
QUALIFICATIONS
- Post-secondary education in Sport Management/Administration or related field.
- Event management or sport association experience preferred.
- Knowledge of LTD 3.0 and CS4L principles.
- Strong organizational, multitasking, and communication skills.
- Proficient with Microsoft Excel and databases.
- Customer service focused; able to work under pressure.
- Flexible schedule with weekend availability.
- Valid driver’s licence, transportation, and police screening check.
