Position Overview.

Reporting to the Event Venue & Operations Lead, the Event Coordinator, Volunteer Program will be responsible for the volunteer program activities for all Skate Canada events hosted annually. Additionally, they will support the execution of venue services and various other aspects of event delivery for these events.

Location.

This position will be located in the office of Skate Canada in Ottawa, ON at 261-1200 St. Laurent Boulevard. We offer a hybrid work model with a requirement of working at least three days in the office per week.

Key Responsibilities.

  • Oversee the administration of the Skate Canada Events Volunteer Program, with a focus on owning the communication, recruitment, vetting, and training of all Skate Canada Volunteers.
  • Working with Local Organizing Committee’s assisting in the scheduling and management of all Skate Canada Event Volunteers.
  • Execute the collection and reconciliation of invoices for Skate Canada domestic and international events, while collaborating with the Finance Department.
  • Execute the event communication planning for all event-related information, including writing, reviewing and editing volunteer program processes, and pre-event information to all event volunteers.
  • Prepare volunteer program post-event summary.
  • Provide direction and support to the Chief Medical Officer (CMO) and Chief Therapist (CT) at Skate Canada events in executing the medical services onsite at events. Liaising with Skate Canada’s Medical Advisor (Events) as required.
  • Lead the management of the school program with LOC and volunteers onsite, send out invitations, coordinator with venue on the signup sheet.
  • Management of way finding signage for venue, accommodation, and ancillary event locations.
  • Assist in all aspects of planning and execution, specifically related to venue services including room set up, signage, event furniture & decor and Skate Canada event equipment & inventory.
  • Assist in the preparation and shipping of event related materials & equipment and the associated distribution, set up, and tear down of all onsite event equipment & supplies.
  • Assist the event department with event planning and execution pieces as required.
  • Other duties as assigned by Manager. and/or Senior Director, Events and Production Services.

Qualifications, Experience and Key Skills.

  • Post-Secondary diploma in Administration, Marketing, Sport Management, Business or similar educational background.
  • Advanced MS Office Skills (Outlook, Word, Excel, and PowerPoint).
  • Excellent organization skills with the ability to work accurately under tight deadlines and manage and oversee multiple projects/deadlines simultaneously.
  • Demonstrated ability to take initiative, work independently and as part of a team.
  • Strong written, oral, and interpersonal communication and documentation skills.
  • Highly self-motivated and directed with keen attention to detail.
  • Ability to provide service in both official languages is an asset.
  • Ability to handle sensitive information in a professional and confidential manner.
  • Positive, enthusiastic and energetic team player.
  • Ability to work in a fast-paced, high-pressure environment.

Commitment.

  • Travel, approximately four to six times per year for the purposes of executing meetings and events.
  • Ability to work overtime as required in order to meet the fluctuating needs in a timely manner.

Compensation.

  • The salary range for this position is between $49,268 – $61,585 with benefits package.
