Reporting to the ACAA President and Executive Leadership Team, the Executive Director will be responsible for all aspects of the day-to-day operations of the organization. In addition to overseeing the financial and administrative aspects, the Executive Director will drive operational planning and budgeting, governance, and strategy development.
Key Responsibilities
- Support the development, execution, and monitoring of the strategic plan.
- Ensure there are effective reporting tools and accountability measures.
- Develop, manage, and maintain productive working relationships with the Executive Leadership team, ACAA Committees, membership, CCAA, other conference offices, partners, stakeholders, government agencies, and other staff.
- Provide leadership to staff and committee chairs to implement approved plans and achieve the goals set out in those plans and job descriptions.
- Manage all day-to-day operations of ACAA, ensuring that all functions of the organization meet objectives and targets.
- Assess and lead the continuous improvement of all internal processes, systems, tools, and technology to meet the demands of a growing organization.
- Work with ACAA Executive and Committee Chairs to conduct the general business operations of the ACAA.
- Ensure effective communication of association events, policies, and procedures.
Specific Responsibilities
Administration:
- Maintain the integrity of the ACAA through appropriate documentation of business activities.
- Record minutes of the Executive meetings and ensure circulation to members.
- Attend Executive and Committee meetings.
- Implement policies and procedures as approved by the ACAA.
- Assist with the development and implementation of the strategic and operational plans of the ACAA.
- Review the Operations Code annually and incorporate changes as approved by the ACAA.
- Ensure the involvement of appropriate committee members in decision-making and policy development.
- Ensure office automation is the most effective possible, given resources of the association.
- File the necessary reports pursuant to the Corporations Act, particularly when there is a change to Executive members.
- Coordinate the administrative details of Committee meetings, AGM, and Directors meetings using available staff resources.
- Maintain historical records of the ACAA.
- Coordinate and complete CCAA workbooks.
Financial (In conjunction with the ACAA VP Finance):
- Budget development and maintenance.
- Accounts Payable/Accounts Receivable for committees, sports, and general administration.
- Prepare and distribute reports at ACAA meetings.
- Government reports for employee withholding (monthly, yearly), T4’s, T4 Summaries, and HST.
- Negotiate contract agreements.
- Prepare year-end documents for annual audit.
- Maintain and update controls for processing receipts and payments.
- Authorize expenditures within association guidelines.
- Co-sign payment cheques.
- Monitor cash flow.
- Communicate with VP Finance on a regular basis and receive approvals where necessary.
- Coordinate the Student-Athlete Financial Awards (SAFA) reports.
Sport Management:
- Facilitate the ACAA Awards Program.
- Coordinate the ACAA Disciplinary Committee process.
- Coordinate and receive ACAA host championship bids.
- Liaise with ACAA championship hosts.
- Represent the ACAA at championship events.
- Coordinate stats, standings, all-star and coach of the year selections, athlete awards, and sport reports.
Marketing & Communications. In conjunction with the ACAA Marketing Chair:
- Act as the media and membership contact on a daily and weekly basis.
- Update reporting documents for use by members.
- Oversee the ACAA website.
- Coordinate and monitor media relations regarding league profile and championship events.
- Supervise production of all marketing and communication materials for internal and external use.
- Develop, implement, and evaluate annual marketing and communication plans to elevate the ACAA brand.
- Maintain a working relationship with PSOs, CCAA, AUS, and SSNS in pertinent matters.
Sponsorship Development. In conjunction with the ACAA Marketing Chair:
- Develop a general sponsorship package that can be adapted to specific requirements.
- Acquire long-term sponsorship agreements for ACAA-owned events (e.g., Championships, broadcasting, etc.).
- Service sponsorship agreements to ensure ACAA responsibilities are met.
Personnel:
- Hire, supervise, and evaluate the Marketing and Communications Coordinator (10 hours per week).
- Submit applications for placement students and summer students.
- Develop, monitor, and update annually the job description of all staff.
Contacts and Communication:
- On a daily basis, the incumbent works independently to ensure the day-to-day operations of the ACAA.
- Frequent contact with the ACAA Executive and Committee Chairs is required to ensure the goals and objectives of the organization are met.
- Regular connection with sport convenors is required to ensure all sport requirements are met.
- Contact with staff at the CCAA and its member conference offices is required on an ongoing basis.
- The incumbent also directs the work of the Marketing and Communications Coordinator and any additional part-time employees (student interns/summer placements).
Desired Skills & Qualifications:
- A bachelor’s degree and a minimum of five (5) years of related management experience in the sport/business sector, or an equivalent combination of education, training, and experience.
- Proven financial management skills, including budgeting, forecasting, and overseeing the preparation of financial statements and resource development. Previous experience with revenue generation, including the acquisition, maintenance, and retention of corporate sponsors and funding partners, would be an asset.
- Ability to manage people and implement best practices related to all facets of human resources, including recruitment, retention, evaluation, succession planning, and training and development.
- Experience within a sport-related environment, sport governing body, NSO/PSO, and/or similar organization.
- Experience in working effectively with a board of directors.
- Has developed, implemented, and operationalized a strategic plan.
- Strong ability to work in a collaborative, supportive fashion with a variety of teams, both internal and external, and bring them together in a way that promotes the organization’s best interests.
- Proven ability to work independently and with a team.
- Demonstrated strong values and ethics, in accordance with the CCAA Code of Ethics (and other CCAA policies), through personal and professional behavior.
- Skilled at building consensus, issue management, and dispute resolution.
- Strong written and oral communications, public/media relations, and events expertise.
- Knowledge of the amateur sport systems in Nova Scotia, PEI, and New Brunswick, as well as the government funding process.
- Proficiency in Microsoft Office and related computer programs.
- The ability to communicate in both English and French is considered an important asset.
- Some travel is required.
