OVERVIEW:
The Coordinator, Amateur Championships is a motivated, self-starter who will be a key member of Golf Canada’s Amateur Championships and Rules team. They will work closely with the other members of the team to assist in conducting national amateur championships, including amateur and professional qualifiers conducted by Golf Canada. This person will also be responsible for providing administrative support in delivering Golf Canada’s Rules Education program and administering Amateur Status reinstatements.
PRIMARY DUTIES
1. Amateur Championships 50%
• Conduct competitions on Golf Canada as the assigned Tournament Director, including National Amateur championships, NextGen championships, and amateur and professional qualifiers. Responsibilities include (but are not limited to) the following:
o Schedule pre-championship visits to host venues – as required.
o Work with local host club championship committee(s) to ensure tournament requirements are being fulfilled as outlined in the tournament manuals.
o Follow the responsibilities of the Golf Canada Tournament Director, as outlined in the tournament manuals.
o Ensure host club championship committees remain within the pre-approved championship budget and assist in securing local sponsorship to enhance certain aspects of the tournament.
o Ensure host club volunteer requirements are fulfilled as outlined in tournament manuals.
o Complete tournament-related administration, as required.
o Ensure host clubs adhere to the contractual obligations.
o Ensure appropriate tournament information is forwarded to applicants/players.
o Administrative support for all Golf Canada amateur championship volunteers.
• Formulate, review and revise championship information, as required. Items may include (but are not limited to) the following:
o Revision of tournament entry forms.
o Establishing tournament “fact sheets” – to include hotel information, venue information, local committee information, letters, or other information as it pertains to the championship.
o Distribution of entries and tournament information to players, provincial golf associations, website and Golf Canada Governors.
o Review duty rosters as prepared by the Duty Roster Selection Panel.
• Manage championship selection criteria, ensure it is posted on each tournament webpage and accessible to the public, and advise applicants of their acceptance and/or rejection into a championship.
2. Rules of Golf and Amateur Status 30%
• Manage all Rules of Golf educational materials, including (but not limited to) the following:
o Annual updates to PowerPoint presentations and supporting documentation.
o Exam reporting, including the creation of breakdowns and certificates for each participant.
• Provide administrative support in coordinating Rules of Golf seminars across the country to train and develop our national referees.
• Operational work in the field, as required, at various outside events as a member of the Local Rules Committee.
• Assist in the promotion and communication of the Rules of Golf and Amateur Status.
• Assist with administrative tasks (minutes, documents) for Golf Canada’s Rules and Amateur Status Committee and its subcommittees.
• Correspond with applicants for reinstatement to Amateur Status and ensure prompt communication is given regarding their application.
3. Other Duties 20%
• Inventory and equipment control. Responsibilities include (but are not limited to) the following:
o Ensure appropriate levels of tournament operational equipment are maintained.
o Procurement of tournament equipment, signage, supplies, gifting, prizing and related materials.
o Manage shipping requirements.
o Work cooperatively with the Professional Championships operations staff to utilize the entire Golf Canada equipment supply.
• Prepare travel itinerary each year and review with the Senior Manager, Amateur Championships and Rules.
• Prepare quantifiable goals/objectives each year and review with the Senior Manager, Amateur Championships and Rules.
• Work to ensure that the Amateur Championships and Rules department at Golf Canada provides:
o Prompt answers to all queries.
o Service to all members and the public.
o Conducts the highest level of tournaments for the enjoyment of all players and volunteers.
• Other duties as required.
REQUIRED SKILLS, KNOWLEDGE, & ABILITIES:
• Post-secondary degree/diploma in sport management, business, related field, or equivalent experience.
• Golf knowledge or experience is required.
• Bilingual (English and French) is not required but is considered an asset.
• Willingness to travel for extended periods of time, is required.
• Valid Driver’s License (G class) required.
• Willingness to drive a truck and 12-foot trailer.
• Excellent verbal and written communication skills.
• Strong interpersonal skills.
• Ability to manage multiple priorities under time restrictions.
• Flexibility and demonstrated ability to be a team player.
• Experience is event planning and operation is preferred.
• Customer service experience is preferred.
• High proficiency with Microsoft Office Suite (PowerPoint, Word, Excel).
NOTE: Golf Canada’s regular hours of work are 40 hours per week, Monday to Friday, 8 hours a day and 5 days a week including a one-hour lunch. However, the demands of your position may mean that your hours of work will vary, may be irregular and will be the hours required to meet the objectives of your employment.
