Manager of Operations

Department: Operations

Position Type: Full-time (35 hours/week)

Reposts to: Director of Programs

Objectives: The Manager of Operations will be responsible for all programming needs. This position will work with the Director of Programs and Sr. Manager Technical and Player Development to execute both recreational and competitive programming.  The role is split between in-office and on-field responsibilities and hires and manages part-time staff and volunteers.

Key Responsibilities:

Please note – This is not a technical role. Familiarity with the sport, an understanding of the game,

previous leadership and playing experiences are considered assets.

Program and Event Management

• Supports the Club’s day-to-day operations and membership services under the guidance of the

Director of Programs and Senior Manager, Technical including customer service with the

membership, registration, website maintenance, database maintenance, staffing levels for

programs and volunteer recruitment and overall retention of part-time staff, volunteers.

• Responsible for the delivery, execution, and oversight of all soccer programs, including outdoor

recreational, player development, indoor recreational, and adult recreational leagues.

• Work with senior technical staff to ensure Club programming meets objectives and quality


• Ensure staff schedules are prepared and communicated, submit payroll to Finance Manager

• Support planning and evaluation of all recreational programs

• Hire, train and manage seasonal staff for execution of programs

• Collaborate with Director of Programs and Sr. Manager Technical and Player Development to

help set staffing plans to meet technical and administrative needs of soccer programs

• Support Technical Lead to develop plans and strategies to identify, recommend and convert high

performing players to appropriate development programs

• Create weekly reporting on staffing and cost analysis for all programs, and identify

trends/highlights to share with the Leadership Team and colleagues

• Lead / support annual events


• Maintains up-to-date records of various curriculum, strategies, and session plans in close

collaboration with the Technical Lead

• Provides pre-season training and onboarding for Field Manager, Master Coaches, Junior Coaches

and Team Leaders with input from Sr. Manager Technical and Player development (off-field


• Record, reconcile, and submit all part-time staff hours bi-weekly to Finance Manager for payroll

• Work with Head Referee to collect, reconcile, record and submit payment information for all


• Maintain inventory of all equipment, replenish as required, and plan for future Club needs

• Develop and execute a new equipment storage plan at various locations across the City of

Oshawa (indoor and outdoor)

• Make recommendations on needs to better support the membership

Office Management

• Maintain registration databases, Club website and staff onboarding documents

• Works with Director of Programs to develop and maintain a volunteer recruitment plan to

support the delivery of programs.

• Manage day-to-day communication and customer service to membership and public regarding all programming.

• Works in coordination with the Director of Programs to ensure all program registrations, and

inquires are handled in a timely and effective manner

• Assists in the planning and execution of annual events

• Assist Director of Programs with post-season program reports and make recommendations on

program quality and sustainability


• Assist with additional club duties as required

• This position will also require work outside of normal business hours including evenings,

weekends and holidays


• Degree or Diploma in Sport Administration, Business, Event Management or similar is

considered an asset

• 3+ years’ experience with a not-for-profit, in the sports sector is an asset

• Previous experience in soccer or other sports as a player or coach is an asset

• Previous experience leading staff and volunteers

• Previous experience with interviewing, volunteer recruitment, and retention

• Previous experience with website management, analysis, reporting and/or database


• Very strong customer service, interpersonal, and human relations skills

• Excellent attention to detail required

• Ability to work independently with limited supervision

• Excellent written and verbal communication skills

• Valid ‘G’ Driver’s Licence (or equivalent) required

Conditions of Employment:

This is a full-time (35 hour per week) salaried permanent position that reports to Director of Programs

with dotted line reporting to Senior Manager, Technical and Player Development. Salary hiring range of

$36,500 – $40,500 will be based on qualifications and experience, with two weeks paid vacation per

year. There will be a three-month probationary period, and employees become eligible for benefits after

six months of continuous full-time employment. The Manager of Operations is required to work from

multiple locations (including Office 1401 Phillip Murray Avenue, Fall/Winter (October-April) Season

Saturdays 8am-2pm Oshawa Civic Complex, Summer Season (May-August) rotation of City/School fields

4:30-8:30pm Monday-Friday. Some additional evening and weekend work may be required. The

position holder is responsible for their own transportation.
