Coordinator, VIP Services

The Prince Edward Island 2023 Canada Games Host Society is looking to fill the position of Coordinator, VIP Services.

As a province known for its hospitality, we’re excited to welcome the 2023 Canada Winter Games

to Prince Edward Island. From February 18 – March 5, 2023, the Games will bring together over

3,600 athletes, managers and coaches, across 20 different sports, for the largest multi-sport

event in the country. With a forecasted economic impact of over $100 million, the 29th edition of

the Canada Games will be the largest event hosted in Prince Edward Island’s history.


The Coordinator of VIP Services will contribute to the mission of delivering a life-shaping Games experience by completing day-to-day tasks to support the development and delivery of the 2023 Canada Winter Games VIP Program.


  • Work with the Director of Ceremonies, Culture & VIP Services to assist the planning and execution of the 2023 Canada Games VIP Program.

  • Coordinate invitations, RSVPs, ticketing, accreditation and housing for key stakeholders including partners, government officials and other VIPs.

  • Coordinate planning and logistics for all VIP lounges.

  • Provide support to the team coordinating VIP receptions, dinners and signature events.

  • Provide support to the team coordinating VIP attendance in official ceremonies.

  • Submit final reports after the events to evaluate success.

  • Other tasks as they may apply to the Protocol & VIP Services (16) Functional Area.


  • An undergraduate certification/ degree or diploma in event coordination, project administration, or other related experience.

  • Two (2) or more years of experience in an event environment working in protocol or VIP services.

  • Demonstrated ability to set priorities and manage multiple projects on site and off site.

  • Exceptional verbal communication skills, preferably in English and French.

  • Impeccable organizational skills when handling large volumes of sensitive data.

  • In-depth knowledge and comfort level with Microsoft Excel.

  • Demonstrated ability to meet tight deadlines and work well under pressure.

  • Demonstrated sound judgement in decision-making in a time sensitive environment.

  • Highly developed communication and interpersonal skills, with the ability to establish and maintain effective working relationships with VIPs at the highest level.

  • Supportive of the Games initiative and contribute to its success through high quality work and effort.

  • Must have a desire to work in a fast-paced environment with flexibility and adaptability to changing priorities.

  • Ability to work collaboratively with a focus on attention to detail and communication of expectations.

  • Knowledge and experience working in a multi-sport Games or events environment is an asset.

  • Experience working in the Google Drive platform is an asset.
