The Prince Edward Island 2023 Canada Games Host Society is looking to fill the position of Coordinator, Satellite Villages & Venues.

As a province known for its hospitality, we’re excited to welcome the 2023 Canada Winter Games to Prince Edward Island. From February 18 – March 5, 2023, the Games will bring together over 3,600 athletes, managers and coaches, across 20 different sports, for the largest multi-sport event in the country. With a forecasted economic impact of over $100 million, the 29th edition of the Canada Games will be the largest event hosted in Prince Edward Island’s history.


The Coordinator, Satellite Villages & Venues is responsible to assist with the coordination, integration, planning development and operations for all Games Operations functions in the satellite venues – competition and non-competition. These Functions include: Venue Operations, Venue Fit-out, Logistics, Look & Signage, Food Services, Village Services, Medical Services and Transportation.

This person will ensure Games Operations services meet or exceed identified minimum standards; and, developing and implementing risk management policies and procedures to ensure the safety of athletes, spectators, officials and volunteers at all satellite venues. The Coordinator also works collaboratively with all members of the Games Operations management team to assist in the development, tracking, reporting and delivery of the Games Operations Division programs, supporting rigorous adherence to the approved targets, goals and timelines, for their assigned venues.


  • Support the development and implementation of venue and project plans including but not limited to:

    • venue operations

    • venue overlay

    • venue fit-out

    • look and signage

    • food services

    • venue transportation

    • event services

  • Determine and implement proper space allocation for all venues

  • Ensure all computer-assisted drawings (CAD’s) are accurate and timely

  • Ensure compliance with venue use agreements and hotel contracts

  • Identify risk and develop mitigation strategies to ensure venues are prepared and safe

  • Collaborate with staff and volunteers to ensure compliance with the Venue Management Model

  • Prepare for and support venue team meetings

  • Coordinate fit out and overlay at each venue, as well as decommissioning of venues post- Games, including the development of commissioning and decommissioning schedules

  • Assist and support the administrative functions of the division, including the development of policies and procedures

  • Coordinate Games time transportation of participants travel to/from satellite villages and venues

  • Coordinate athlete and coach entertainment, accommodations, food services, medical services and overall care and comfort at the satellite villages and venues

  • Work collaboratively with the Provincial/Territorial Mission Staff to deliver a high quality athlete experience

  • Support venue transportation planning for the Halifax venues and villages

  • Support planning and movement of VIPs and other officials during arrivals/departures



  • An undergraduate degree or diploma in project management, sport/recreation management, facility management, community development or other related fields.


  • Two (2) or more years of related experience in facility coordination, project planning, event planning, sport/recreation management or other related fields. A combined equivalent of education and experience may be considered.

Technical Knowledge and Skills:

  • Strong organizational, administration, planning and presentation skills

  • Excellent communication skills, written and oral, in English is required and fluency in French is an asset

  • Experience with games management models, including venue team structure and operations is preferred

  • Experience with Google’s G Suite programs, Gmail, Docs, Slides, Calendar, etc. (or equivalent Microsoft Office programs) is required

  • CAD experience is considered an asset

  • Demonstrated ability to set priorities and manage multiple projects

  • Ability to work in a team environment with both staff and volunteers

  • Knowledge and experience working in a not-for-profit, events, sports or multi-sport Games environment is an asset


  • Bilingualism (English and French) is considered an asset

  • Flexibility to work evenings, weekends, and holidays

  • Must be legally entitled to work in Canada

  • Working conditions: sitting, using a computer, and repetitive motions over extended periods of time

  • Applicants must be, or scheduled to be, fully vaccinated against COVID-19 prior to their start date


  • Full Time:  40 – 48 hours per work week.

  • Additional hours, or time outside of the normal work hours, may be required in order to meet operational requirements of the 2023 Canada Winter Games.

This is a contract position, until March 2023.
