Coordinator, Athletes Village

Reporting to:  Manager, Athlete Services

Location: Charlottetown, PE

Contract Term: September 2021 – March 2023


The Prince Edward Island 2023 Canada Games Host Society is looking to fill the position of Coordinator, Athletes Village.

In just over two years, the eyes of the nation will be on Prince Edward Island as we host the 2023 Canada Winter Games. Featuring over 150 events in 22 sports and a major cultural festival, the 2023 Canada Games will welcome over 3,600 athletes, as we celebrate and inspire the best of the next generation of Canadian athletes. The 29th edition of the Games will be the largest multi-sport and cultural event for youth in Canada and the largest event to be hosted in Prince Edward Island’s history.

General Job Description:

Reporting to the Athlete Services Manager, the Athletes Village Coordinator will implement all requirements for the Athletes Village to create a safe and memorable environment for all participants during the 2023 Canada Winter Games hosted by Prince Edward Island, February 17-March 5, 2023.

The Coordinator will work closely with the volunteer Chair, Athletes Village, and Games-time support volunteers, as well as the University of Prince Edward Island (UPEI) operational staff to safely plan and service all requirements for the 2023 Canada Winter Games needs at UPEI  to create the Athletes Village – a “Home Away From Home”.  The Coordinator will also work closely with UPEI Conference Services personnel to ensure policies, procedures and expectations are managed for both parties.

Key Responsibilities:

This role will be responsible for, but not limited to:

  • Coordination and delivery of all required elements of the Athletes’ Village including:

    • Athlete, coaches, and manager accommodations

    • Athlete services

    • Athlete entertainment

    • Transportation, including arrivals and departures

    • Village logistics & materials management

    • Housekeeping and laundry

    • Safety and security

    • Storage of sports equipment

    • Coaches lounge

    • Athletes Village Information Centre

  • Assist with the coordination of food and beverage services and mission secretariat, and mission staff offices

  • Assist with organizing village welcome ceremonies during week 1 and week 2 for each provincial and territorial team

  • Liaise with Venue Teams and Sport Organizing Committees to support and track the progress of targets, goals and timelines for sport venues located within the Athletes Village

  • Manage the accommodations module within the Canada Games Games Management Software

  • Executing all responsibilities in a manner which is consistent with the Mission, Vision, and Values of the PEI 2023 Canada Winter Games

  • Other duties as reasonably required.


  • Undergraduate degree/diploma in food and beverage, tourism, hospitality, business, event or sport management, or a related field of study

  • Two (2) or more years of related work experience, or a combined equivalent of education and work experience

  • Desire to work in a fast-paced environment with flexibility and adaptability to changing and conflicting priorities

  • Ability to work collaboratively with both staff and volunteers, with strong attention to detail

  • Experience with Google Suite is an asset

  • Strong skills in analyzing, organizing, and communication (oral and written)

  • Demonstrated ability to set priorities and manage multiple projects simultaneously

  • Strong ability to meet tight deadlines and work well under pressure

  • Desire to work in a fast-paced, team environment where duties and reporting levels are shared

  • Ability to work collaboratively with a focus on attention to detail and communication of expectations

  • Energetic self-starter; takes initiative and can work with minimum direction and supervision

  • Knowledge and experience working in a non-profit, events, sports, or multi-sport Games environment is an asset

  • Demonstrated ability to work in a highly dynamic and deeply collaborative environment, moving seamlessly between many simultaneous and concurrent tasks, operations, and requests

  • Flexible and strong team orientation and management style, i.e., a highly developed ‘collaboration ability’

  • A creative approach, with an ability to see the glass half-full, always looking for the opportunity behind the challenge


  • Bilingualism (English and French) is considered an asset

  • Flexibility to work some evenings, weekends, and holidays

  • Must be legally entitled to work in Canada

  • May be subject to a criminal record check and/or other background checks

  • Working conditions: sitting, using a computer, and repetitive motions over extended periods of time, ability to work closely with volunteers, and shifting priorities

  • Applicants must be, or scheduled to be, fully vaccinated against COVID 19 prior to start date

Working Conditions:

  • Full Time:  40 – 48 hours per work week.

  • Additional hours, or time outside of the normal work hours, may be required in order to meet operational requirements of the 2023 Canada Winter Games.
