Program Manager, Sport Services - Canadian Olympic Committee

Reporting to the Manager, Sport Services, the Program Manager, Sport Services is responsible for the project management of all aspects of the COC’s Sport Entries and team registration processes for Olympic, Olympic Winter, Pan American and Youth Olympic Games. This includes taking a lead role in sport technical and team registration information management processes, tools, and reporting for internal and external stakeholders. 

This position will be located in the COC office in Montreal, QC, at 500 René-Lévesque Boulevard West

Team Selection and Registration

  • Alongside the Manager, Sport Services, develop and manage the COC’s overall accreditation plan for all Games
  • Develop project plan and process for Games accreditation and entries for the Canadian team in accordance with Organizing Committee’s (OCOG’s) timelines
  • Accountable for the accurate and timely submission of accreditation and sport entry reports in accordance with OCOG’s timelines for all applicable NOC categories of accreditation
  • Work in collaboration with IT to ensure the Sport department’s needs for development and maintenance of The Bridge/Fortius, the COC’s central information database, are met
  • Assist the Manager, Sport Services with review and research of IOC, International Federation (IF), and OCOG policies, rules and regulations regarding all aspects of participation at Olympic and Pan Am Games
  • Liaise with external partners, such as CCES and Major Games Canada, and various internal Functional Areas to provide accurate team registration information
  • Manage the team registration process for all Dignitaries and NSO Leadership client groups
  • Support the Legal Counsel in the drafting and approval of Games agreements
  • Manage the distribution and collection of required agreements including the COC-NSO, athlete, support staff agreement, and conditions of participation forms
  • Prepare all required materials and attend Delegation Registration Meetings (DRM) to complete team registration, ensuring the smooth pre-registration of each Team
  • Support the Manager, Sport Services with the preparation of selection material for the COC’s Team Selection Committee for all major Games
  • Provide training and support to NSO Team Leaders on the team registration and nominations process and with the COC’s Games Management system
  • Build strong relationships with NSOs and OCOG counterparts to facilitate the team registration and nomination process

Athlete and Coach Recognition

  • Support the Manager, Sport Services with at-Games recognition of athletes and coaches, including OCOG Gifting, certificates, medallions and medalist recognition
  • Liaise with the Coaching Association of Canada (CAC) to monitor and document status of coaches with respect to the COC’s Coaches Recognition Guidelines.

Sport Information

  • Lead the development, implementation and maintenance of content for consumption by athletes, officials, and Mission Team on The Bridge
  • Assist in the development and implementation of a content sharing strategy
  • Oversee the production of all aspects of Post-Games Reports

Human Resources

  • Manage the Coordinator, Sport Services including performance management, development, and coaching to help them achieve their personal and organizational objectives
  • Provide ongoing coaching to the Coordinator, Sport Services through formal and informal channels
  • Manage any Sport Services Interns including evaluations, development, and coaching
  • Contribute to any Sport-specific projects or working groups where applicable


Education and Experience

  • College diploma or University degree, preferably in a sport related field
  • 3-5 years in multi-sport or international sport event experience and/or proven multi-sport Games experience
  • Advanced knowledge and experience in Sport Technical elements of international multi-sport Games preparation
  • Strong understanding of the Canadian Sport System
  • Advanced knowledge and experience in relational database development and maintenance (CRM)
  • Prior experience with administrative and project management

Skills and Abilities

  • Bilingualism (English/French) preferred
  • Proven planning, project coordination and budgeting skills
  • Strong communication skills (verbal and written)
  • Ability to work in and contribute to a strong team environment
  • Experience implementing policies and processes to facilitate planning efficiencies on projects
  • Ability to organize, prioritize, manage and monitor multiple projects to successful completion and adapting to shifting priorities under pressure and tight deadlines
  • Strong attention to detail and thoroughness
  • Strong analytical and critical thinking skills
  • Sense of humour
  • Excellent initiative and ability to use independent judgement and problem-solving skills to make operational decisions
  • Some travel and evening/weekend work required
