Coordinator, Sport Services - Canadian Olympic Committee

Reporting to the Program Manager, Sport Services, the Coordinator, Sport Services supports all aspects of the COC’s team registration and nomination process. The Coordinator supports the tracking and managing of all the team / National Sport Organizations (NSO) information for Olympic, Olympic Winter, Pan American and Youth Olympic Games. The Coordinator also supports the COC’s sport technical information sharing strategy and post-Games reporting.

This position will be located in the COC office in Montreal, QC, at 500 René-Lévesque Boulevard West

CORE RESPONSIBILITIES AND PRIORITIES

Liaison

  • Manager, Sport Services
  • Program Manager, Sport Services
  • Olympic Performance and Games Planning
  • Athlete and Officials
  • Work with all Functional Areas of the COC who play a role in the delivery of Games

Team Selection and Registration

  • Coordinate response plan for team registration support requests from all athletes and officials as well as act as primary point of contact for these requests
  • Coordinate the distribution, collection, and tracking of required agreements including the athlete, support team and COC-NSO agreements, and Conditions of Participation forms
  • Coordinate the background check process required for Support Staff at Games
  • Coordinate the distribution process of Pre-Valid Card packages to potential team members by liaising with internal Functional Areas
  • Support the Program Manager, Sport Services with:
  • Accurate and timely submission of accreditation and sport entry data to Organizing Committees
  • Management of team registration lists with external partners, such as Coaching Association of Canada (CAC), Canadian Centre for Ethics in Sport (CCES), and Major Games Canada
  • Training of NSO Team Leaders on the COC’s Games Management system
  • Support the Manager, Sport Services with the preparation of selection material for COC Team Selection Committee for all major Games
  • Provide support to the maintenance of COC online databases

Athlete and Coach Recognition

  • Coordinate the distribution of post-Games athlete and coach recognition materials, including coach / athlete pins / rewards, team member certificates, etc.
  • Coordinate the recognition program for Canadian Competition Officials
  • Support any required recognition for post-Games celebrations

Sport Information

  • Support the Program Manager, Sport Services with:
  • Information sharing to potential team members via our at-Games app or through the online portal, The Bridge
  • Production of Post-Games Reports
  • Distribute sport technical information from Organizing Committees to internal and external stakeholders
  • In conjunction with the Assistant, Sport Services, respond to requests for historical team information from both within the COC and from external partners
  • Provide support to Sport Services master task list implementation and tracking for all deliverables
  • Liaise directly with the COC's Olympic Performance Managers to ensure NSO deadlines / key milestones are adhered to

Other

  • Provide support with the Olympic Lab, Olympic Orientation, and Olympic Preparation
  • Consult with other departments for online registration for Olympic Preparation events as required

Contribute to any Sport-specific projects or working groups where applicable.

QUALIFICATIONS AND CRITICAL SKILLS

Education and Experience

  • University Degree or College Diploma, preferably in sport related field
  • 2-3 years of relevant experience
  • Prior administrative and coordination experience

Skills and Abilities

  • Required high level of proficiency in Excel, Word, PowerPoint, and common databases
  • Bilingualism (English, French) required
  • Strong attention to detail and thoroughness
  • Strong ability to manipulate and manage large amounts of data
  • Planning, project coordination, problem solving
  • Strong communication skills (verbal and written)
  • Ability to work in and contribute to a strong team environment
  • Experience implementing policies and processes to facilitate improved planning on projects is preferred
  • Ability to multi-task and good time management skills
  • Ability to work under pressure and under tight deadlines
  • Familiarity with the Canadian Sport System an asset
  • COC Games Operations experience (desirable)
  • Some travel and evening/weekend work
  • Demonstrates and embodies the COC values of Accountability, Excellence, Fun, Respect and Bravery
