Athletics Clerk - Olds College

Purpose of Position
This position is responsible for providing high quality reception, administrative and financial services to the Broncos
Athletics Department. This position will work closely with Business Services and Human Resources on campus as well as being the first point of contact for coaches, student-athletes and the community. The position will have frequent contact with the Canadian Collegiate Athletic Association (CCAA) and Alberta Colleges Athletic Conference (ACAC), sponsors, and community partners.

Key Job Functions

  • Provide reception and act as a main contact for Broncos Athletics
  • Create agendas and complete minutes for all Broncos Athletics meetings
  • Coordinate department travel and accommodations for all teams as well as conferences and ACAC and CCAA meetings
  • Coordinate staffing contracts, purchase requisitions and all accounts payable/receivable documentation
  • Assist in preparing financial reports
  • Assist with reconciliation of budgets, preparing budget plan and communicating budget information to coaches, Director, Athletics and Manager, Athlete Services
  • Schedule rooms, order refreshments, arrange parking and other services as requested for on and off-campus events or meetings related to Broncos Athletics
  • Assist with scheduling appointments and meetings as required
  • Coordinate staffing contracts, purchase requisitions and all accounts payable/receivable documentation
  • Assists with organization and delivery of special events such as Olds College Golf Classic, Broncos Scholarship
  • Breakfast, Awards Night and ACAC/CCAA host committees
  • Work with Olds College Alumni and Community Relations Coordinator on Broncos alumni events, communications and alumni database maintenance
  • Provide game day staff support for Broncos Athletics

Education/Experience/Skills/Knowledge Required

  • 2-year diploma in an Office, Business, Sports or Fitness Administration program
  • Minimum of two years’ relevant experience, preferably in a post-secondary environment in an
  • athletics/fitness/recreation department
  • Must be willing to work flexible hours, including evenings and weekends
  • Excellent computer skills, including Google Suite, MS Office programs (especially spreadsheets) and financial software
  • Knowledge of PeopleSoft and social media platforms would be an asset
  • Understanding/knowledge of College athletic programs and event management experience are assets
  • Knowledge of effective general office management, human resources and budget policies and procedures
  • Strong understanding of sound financial practices
  • Previous customer service experience providing services to the public
  • Excellent organization, accuracy, and multi-tasking skills while handling a high-volume of work under pressure and tight deadlines
  • Ability to work independently, with little direction or supervision
